How to use merge tags so personalization feels accurate, useful, and safe when data is missing.

Merge tags help you scale relevance. They hurt you when the data is wrong, empty, or stuffed into every sentence.
Personalize the moment that matters
The strongest uses are early: subject line, first sentence, or a single proof point. Repeating {{first_name}} five times does not create a relationship. Prefer fields that change the advice you give—industry, role, tool stack, or recent trigger—over decorative fields.
Always plan for missing data
Decide what happens when a field is blank. Fall back to a natural phrase (“your team”) instead of “Hi {{first_name}},” rendering as “Hi ,”. Review a sample of rendered emails before any large send.
Keep the human sentence intact
Write the email so it still reads well if the merge value is slightly off. Awkward grammar around a tag is a giveaway. Read the sentence aloud with two different values.
Respect trust boundaries
Do not imply surveillance. “Saw you visited pricing” can feel invasive depending on context. Prefer publicly reasonable context: hiring posts, talks, product launches, or mutual communities.

Audit your next sequence for merge tags that are decorative rather than useful, remove two of them, and add one fallback for empty fields.
